Executive Assistant
Sudbury, Suffolk

I am delighted to be working for a charitable organisation in their search for an experienced Executive Assistant to join their large-scale business. This is a hybrid position working 50/50 from home and their Sudbury based office (you will need to be local for this position regardless of hybrid working option).

The ideal candidate will have previous experience working at a PA/EA level with some experience dealing with direct reports. You will be committed, professional and confident liaising with members of the senior management team.

As EA your role will include but is not limited to:

•Be responsible for line management of Sudbury receptionist, and arranging cover for dealing with incoming and outgoing post in their absence.
•To oversee the efficient management of the Sudbury office premises
•Meet each at least weekly to discuss diary and upcoming tasks
•Manage diaries, arrange travel
•Raise purchase orders and arrange payment of invoices, through FocalPoint or use of Procurement Card
•Monitor emails and take action as necessary
•Schedule 1:1s and performance review meetings with teams
•Schedule regular meetings (e.g. IMG, CSGG, FSLT, Legal team), draw up agendas, issue papers, take minutes, follow up action points
•Draft documents and correspondence as required
•Schedule trustee board and committee meetings on agreed dates, book venues, liaise with ELT on content of agendas, ensure papers submitted and published on time; attend meetings and take minutes, follow up action points
•Liaise with trustees, arrange travel and payment of expenses
•Keep registers up to date
•Provide company information to charity staff, auditors etc. as required
•Raise purchase orders or make payments with Procurement card in accordance with agreed terms of use
•To work with the Health and Safety team in regard to risk assessments, fire drills, DSE assessments and office safety
•To oversee and manage office space allocations and floor moves as and when required

Experience Required:

•Experience of committee work including taking minutes
•Good experience working and supporting at executive level
•Experience of demonstrating confidentiality and the ability to be discreet.
•Excellent verbal and written communication skills with an ability to communicate at all levels
•Experience of working in a team and also under own initiative
