Executive Assistant

I am working alongside a prestigious and reputable establishment in their search for an Executive Assistant to support the Senior Manager and provide leadership for internal departments.

The ideal candidate will be flexible, innovative, dynamic and resilient with previous experience working in a similar capacity. You will be at the forefront of the business so will need to present as professional, articulate and approachable at all times when dealing with internal and external stakeholders. A warm, caring character balancing a professional, task-oriented approach will get the best out of colleagues.

You will lead the office, managing the work of the Assistant PA and PA to the Leadership Team, and will oversee the work of Reception alongside the Senior Receptionist.

Responsibilities:

•Deal with incoming post, emails, telephone calls and arising issues. Respond directly, draft replies or seek direction as necessary. Take and communicate decisions, consulting Senior Management as necessary, and work with others to achieve desired outcomes
•Manage diary to include time for: meetings, correspondence, events and travel; reading and reflection; personal renewal
•Manage all the meetings to include: agendas, minutes and follow-up actions; providing briefings for the Senior Management as necessary
•Manage all events organised by the management office to include: menus and tastings, guest lists, invitations, seating plans and event presentation
•Lead and manage the office to ensure that staff carry out their roles thoroughly, effectively and efficiently. Oversee excellent office management with timely, accurate filing and record-keeping, a tidy, professional appearance and clear desks, and a focused working environment
•Lead regular appraisals on the team in consultation with Senior Management
•Oversee an excellent front of house experience to include: a professional, courteous Reception and welcoming environment; attractive flowers, reading materials and other welcoming touches; the automatic provision of refreshments for visitors
•Liaise with other offices, in particular, Finance & Operations, Admissions and Marketing, to coordinate and manage the efforts of senior colleagues

Terms and Conditions
•Working hours: Monday to Friday 08:30am to 5:00pm, with one hour for lunch.
•Some evening and weekend work will be required in support of events.
•Salary: £35,000-£45,000 depending on experience
•Holiday entitlement: 28 days per annum, plus 7 days bank holidays.
•May Day is a working day.
