I am working with a leading Bury St Edmunds School in their search for an Assistant PA on a one year maternity cover contract from October 2021 December 2022.

This role will provide efficient and effective administrative support within the Headmaster's Office. Whilst you are not expected to have experience in an educational setting, you will have ideally worked with senior staff in a demanding, commercial environment.

A warm, caring character balancing a professional, task-oriented approach will get the best out of
colleagues. Strong ICT skills are essential along with a problem solving approach and a can do attitude.

Your key Responsibilities include:

•Provide administrative support including printing, photocopying, event arrangement, trip administrative and ad-hoc duties
•Assist with duties including supporting management of all events organised
•Carry out data inputting, maintenance and report provision using the School database.
•Compilation, proof reading and posting of articles on a weekly and ad hoc basis in line with brand and styles
•Ensure pupil filing system is up to date
•Deal with incoming post, emails and telephone calls. Respond directly where appropriate, draft
replies or seek advice from the PA as necessary
•Deal with arising issues. Take and communicate decisions where appropriate or consult with the Senior management as necessary. Direct others and work with them to achieve desired outcomes
•Liaise with other offices, in particular, Finance & Operations, Admissions and Marketing, to
coordinate and manage the efforts of senior colleagues
•Oversee excellent office management with timely, accurate filing and record-keeping; a tidy, professional appearance and clear desks; a focused working environment
•Assist in overseeing an excellent front of house experience for visitors to include: a professional,
•courteous Reception and welcoming environment; attractive flowers, reading materials and other welcoming touches; the automatic provision of refreshments for visitors
•Provide back up to telephone switchboard and providing ad hoc cover to reception during periods of sickness and holidays
•Organising taxi's for international pupils and dealing with any Covid related requirements on a half termly basis. Liaising with House staff and parents to ensure pupils can travel safely
•Any other duties commensurate with the position as requested

To be considered for this position you will need to be:

•Highly proficient skills in English and Maths
•Highly competent user of Microsoft Office
•Confident user of databases
•Good writing and proof reading skills
•Willing to undertake necessary training when required

Additional Information:

•Working hours: Monday to Friday 08:30 to 17:00, with one hour for lunch
•Some evening and weekend work will be required in support of events
•Circa £25,000
•Start Date: Wednesday 27th October 2021
•Holiday entitlement: 28 days per annum, plus 7 days bank holidays
•May Day is a working day
