Compliance Coordinator

I am supporting an established, high end business who are seeking a Compliance Coordinator to provide administrative support to the Compliance Officer, covering health & safety, data protection and safeguarding.

This is a busy position and the ideal person will enjoy problem solving, working under pressure and have the ability to change direction where required at any given time.

You must have excellent attention to detail with an energetic and resilient nature! Whilst you are not required to have previous experience working in Compliance, you will need to be diligent with an eagerness to learn. You will have ideally worked at a senior administrative level with excellent organisational skills.

Duties and Responsibilities:

•Answering the telephone and taking accurate messages
•Making sure the Compliance Officer is notified of any urgent communications
•Diary management
•Managing electronic filing systems
•Proof reading reports, assessments, policies and handbooks

Health and Safety

•Filing and collating accident reports
•Collating information from other departments to confirm compliance has been met
•Scheduling fire evacuations for each building, each term and liaising with the fire monitoring station
•Collating COSHH risk assessments and audits
•Scheduling internal inspections with the relevant department
•Assisting the Compliance Officer with the collation of audit reports and action plans
•Administration of the health surveillance assessment
•Assisting the Compliance Officer with the collation of information to regulatory bodies
•Minute taking for the Health and Safety Committee
•Collate Health Surveillance information
•COVID Admin

Insurance

•Preparing files for claims
•Liaising with other departments in particular, Finance, Operations, Medical Centre
•Contacting third parties for contract information
•Liaising with the insurance broker's claims team

Data Protection

•Collating data for auditing
•Filing and collating data protection documents
•Liaising with the IT department on third party contractor compliance contracts

Safeguarding

•Support Compliance Officer with the Single Central Register audit reports
•ISI Compliance
•Support the Compliance Officer with the collation of evidence for the inspection folder

Training

•Monitor the Staff Training Log and notify Staff when training is overdue
•Organise Safeguard Training for New Starters and Staff that are overdue based on the training cycle.

Desirable Skills

•Health and Safety administration experience
•Awareness of the role of Data Protection in the workplace
•Experience of working in an industry that is inspected by a regulatory body or in a company with quality assurance systems
•Experience of working paperless

Additional Information

•Salary - Circa £23,000
•Working hours: Your normal hours of work are 08:30 17:00, Monday Friday, with an hour unpaid lunch break
•Holiday entitlement: 28 days per annum, plus 7 days bank holidays. May Day is a working day
•Benefits: Benefits include; pension scheme; membership of Sports and Tennis Centre; free lunch, free parking on site
