Office Support Manager
Bury St Edmunds, Suffolk

I am working with a Suffolk based independent business, in their search for an Office Support Manager. The ideal candidate will have a strong Administration background, ideally working in a senior position previously such as Office Management or similar.

You will be required to work in a dynamic and flexible way, reacting to ever changing workloads. A good sense of humour and lots of energy is also helpful! You will be liaising with several other departments so will need to work professionally and promptly.

Key Responsibilities:
•PA support to Assistant Head including, administration assistance, proof reading, event arrangement, minute taking and ad hoc duties
•Assist the PA with duties including supporting management of all events organised by the senior Office
•Provide support to all members of the common room with their administrative needs and ensure that everyone receives an excellent service
•Carry out data inputting, maintenance and report provision using the database
•Ensure our filing system is up to date
•Deal with incoming post, emails and telephone calls. Respond directly where appropriate, draft replies or seek advice from the PA as necessary.
•Deal with arising issues. Take and communicate decisions where appropriate or consult with management as necessary. Direct others and work with them to achieve desired outcomes
•Liaise with other offices, in particular, Finance & Operations, Admissions and Marketing, to coordinate and manage the efforts of senior colleagues
•Oversee excellent office management with timely, accurate filing and record-keeping; a tidy professional appearance and clear desks; a focused working environment
•Assist in overseeing an excellent front of house experience for visitors to include: a professional, courteous Reception and welcoming environment; attractive flowers, reading materials and other welcoming touches; the automatic provision of refreshments for visitors
•Organise music timetabling on a termly basis including liaison with peripatetic music teachers and providing event support
•Provide back up to telephone switchboard and providing ad hoc cover to reception during periods of sickness and holidays
•Any other duties commensurate with the position as requested

The Person:
Qualifications and Training

•Highly proficient skills in English and Maths
•Highly competent user of Microsoft Office
•Confident user of databases
•Good writing and proof reading skills
•Willing to undertake necessary training when required

Additional Information:
Full Time, Permanent Monday to Friday 9am-5pm - Some evening and weekend work will be required in support of events.

Salary: Dependant on experience
