Job Title: Part Time Receptionist
Location: Bury St Edmunds, Suffolk
Salary: £10.31ph
Annual leave: 28 days plus 7 bank holidays, pro rata, however bank holidays are to be taken from hourly annual leave allowance

My client, an outstanding and reputable school, is looking for a part time receptionist to join their team. This is a job share role and the ideal candidate will be well presented with strong administration skills and excellent IT knowledge. They are looking for a professional, experienced and approachable receptionist who can be quick thinking in resolving any problems brought to your attention as the front of house, first point of contact, and directing them to the appropriate person as required.

Your duties will include:
•Welcome visitors by greeting them, in person or on the telephone in a professional and efficient manner.
•Direct visitors to the correct department, keeping records of visitors and issuing visitor badges as necessary.
•Maintain a safe and clean reception area, ensuring it is kept looking inviting and friendly, organising flowers for the entrance hall as required.
•Operate the main switchboard; receiving and transferring telephone calls with courtesy and clarity, announcing callers, taking brief messages and passing these on via the email system or connecting callers to staff members personal direct line voicemail.
•Review and update, on at least a termly basis, the staff contact and telephone extension lists.
•Maintain pupil attendance records on the school database, ISAMS (training will be provided), and ensure all pupils are recorded correctly.
•Publishing letters and other communications (online comms system, training will be provided) under the direction of the Headmaster and Deputy Headmaster's offices.
•Provide administrative support to other offices, on request from the Headmaster's office eg mailings, name badges for events, data entry, proof reading.
•In the event of a fire and/or any other emergency requiring staff to leave the building, to be responsible for ensuring that the visitors book and staff movement sheets are removed.
•Re-directing deliveries to the Caretakers lodge for receipt.
•Ensure the post is collected every evening.
•On receipt of the appropriate request form, book couriers and taxis on behalf of members of staff.
•To manage room booking diaries and mobile telephone loans for staff.

•Flexible to cover holidays for the other two receptionists
•Excellent standard of written English

Hours of work:
You will normally be required to work 19 hours per week (four shifts) during School term time (33 weeks per annum). This will reduce to 12 hours (three shifts) during School holiday time (19 weeks per annum) when the reception hours are shorter and you will not normally be required to work on a Saturday. Your normal hours of work during School term time are from 13.00 to 17.45 on Monday and Thursday and 08.15 to 13.00 on Friday and Saturday. During School holiday times your hours will reduce to 13.00 to 17.00 on Monday and Thursday and 09.00 to 13.00 on Friday. There may be some flexibility in regard to the Saturday shift during term time.
