Outskirts of Bury St Edmunds
Salary: Negotiable depending on experience
I am currently supporting an Energy Efficiency business based on the outskirts of Bury St Edmunds, in their search for an experienced Senior Contracts Administrator. The ideal candidate will have previous career history in a similar role.
The purpose of this role is to support Customers with their enquires and also manage the diaries of surveyors and installation engineers. There is also a requirement for you to manage the companies CRM System, ensuring accurate and up to date input at all times. You will liaise with the General Manager and Surveying Manager with any other duties which may be required of you. This role will also require you to manage the work load of the Assistant Administrator therefore, ideally some low level management experience is beneficial too.
Role will include:
•Dealing with calls and customer enquiries, and logging these on the companies CRM database
•Booking survey and install appointments depending on geographic locations and timed appointments and completing the weekly diaries
•Printing off lead sheets and documentation from the Database to create the surveyors weekly scheduled appointments
•Sending out letters, texts and/or emails confirming appointments, plus letters chasing customers who we haven't been able to contact
•Collating the installers' weekly paperwork from their diaries, and providing handover packs and customer feedback forms
•Inserting the weekly install value onto the companies' weekly tracker
•Sending out Landlords permission forms for landlords to give permission for works to be completed to their property
•Updating and maintaining separate spreadsheets / portals for selected Local Authorities and Housing Providers, various other clients and energy companies
•Liaison with the Surveying and General Managers for the efficient re-allocation of surveying and installing schedules and then changing details on the Database
•Emailing / calling surveyors and installers to advise of additional or cancelled appointments or updates to booked jobs as required
•To attend meetings with some Local Authorities and Housing Providers reporting, regarding referrals on their scheme
•Taking minutes at the bi-weekly contracts and sales meetings, and possibly taking minutes at some disciplinary hearings
•Managing the workload of the Assistant Administrator
•Contract Administration: 2 years (Required)
•Staff are required to attend occasional training courses, conferences and meetings that may necessitate staying away from home overnight
•Own transport required due to location there is limited access via public transport parking on site available
